ABOUT THE ROLE
We are looking for a structured, service-oriented, and proactive HR Operations Specialist to join our European HR team. In this regional role, you will support employees and managers across the Nordics, Baltics, and Poland, ensuring efficient and compliant HR operations throughout the employee lifecycle.
The role combines two key areas of responsibility:
For the Nordics and Baltics, you will primarily focus on HR Operations and payroll coordination, working closely with our outsourced payroll providers and ensuring smooth administrative HR delivery.
For Poland, you will act in a broader HR Generalist capacity, supporting local managers and employees across a wider range of HR topics.
You will work closely with Regional HR Managers and become an important operational partner enabling efficient, high-quality HR support across the region.
KEY RESPONSABILITIES
HR Operations & Payroll Support (Nordics & Baltics)
Manage and execute HR administrative processes across the employee lifecycle
Prepare employment contracts, amendments, certificates, and HR documentation
Coordinate monthly payroll input and validations with external payroll providers
Ensure accurate employee data maintenance in HR systems
Support onboarding and offboarding administration
HR Generalist Support (Poland)
Act as the local HR point of contact for employees in Poland
Support managers in day-to-day HR matters and employee relations topics
Coordinate recruitment administration and onboarding activities
Support local HR processes, policies, and compliance requirements
Assist with performance, engagement, and people-related initiatives
Regional HR Coordination
Partner closely with Regional HR Managers and support operational execution
Coordinate with Payroll, Finance, IT, and external HR partners
Support HR reporting, audits, and data quality initiatives
Contribute to continuous improvement and harmonization of HR processes across the region
Who You Are
We believe you are a hands-on and detail-oriented HR professional who enjoys working in an international environment and balancing both operational excellence and employee support.
You likely bring:
Several years of experience within HR Operations, Payroll coordination, or HR Administration
Experience working with outsourced payroll providers
Good understanding of employment law and labour relations for Poland
Experience in a broader HR Generalist role is considered an advantage
Strong administrative and organizational skills with high attention to detail
Ability to work independently while collaborating across multiple countries and stakeholders
Experience working in an international or matrix organization is beneficial
Fluency in Polish and unhindered in English, both written and spoken
Knowledge of Nordic payroll processes is a strong advantage (maybe you even speak one Nordic language?)
