About the role
The role of Tender Desk Manager ensures all administrative, legal, and compliance requirements are met for business opportunities and bids. It guarantees that every proposal is complete, compliant, and submitted on time.
Main responsibilities
Support Sales and Bid teams by ensuring full administrative, legal, and compliance readiness for upcoming opportunities.
Identify eligibility requirements, anticipate country‑specific regulations, and coordinate the collection of corporate documentation (certifications, financials, legal records, references).
Maintain up‑to‑date standard bid documents and support EOIs, RFIs, vendor registrations, and pre‑qualification submissions in collaboration with internal teams.
Bid Management Support
Lead and coordinate the administrative workstream during bid preparation, managing compliance checklists, timelines, and submission protocols.
Ensure all tender instructions are met, consolidate and validate administrative volumes, and manage contractual documents (bid bonds, guarantees, notarizations).
Work closely with Sales, Legal, Finance, Procurement, and partners to ensure a complete, consistent, and compliant offer.
Oversee final packaging, quality control, ontime submission, and proper archiving of all bid documentation.
About you
Proven experience in managing administrative or coordination activities within complex projects, commercial processes, or structured environments.
Familiarity with tendering, proposal development, or structured submission processes
Experience managing end‑to‑end bid or complex administrative processes, with a solid grasp of legal, compliance, and governance considerations.
Strong leadership and cross‑functional coordination skills, able to handle tight deadlines and multiple parallel submissions.
Highly organized, detail‑oriented, and comfortable working in multicultural and remote environments.
Excellent communication skills and full professional fluency in English.
