About the role
The role of Tender & Bid Coordinator ensures all administrative, legal, and compliance requirements are met for business opportunities and bids. It guarantees that every proposal is complete, compliant, and submitted on time.
Main responsibilities
Manage the full administrative and documentation workflow of bids - coordinating stakeholders, ensuring eligibility and tender compliance, and securing complete, accurate, and on‑time submissions.
Bid Management Support
Support EOIs, RFIs, vendor registrations, and pre‑qualification files in collaboration with internal teams.
Lead the administrative workstream during bid preparation, managing compliance checklists, timelines, and submission protocols.
Identify eligibility criteria, country‑specific requirements, and coordinate the collection of corporate documentats (certificates, financials, legal records, references).
Ensure full compliance with tender instructions, consolidate and validate administrative volumes, and manage contractual documents (bid bonds, guarantees, notarizations).
Work closely with Sales, Legal, Finance, Procurement, and partners to ensure a complete and consistent offer.
Oversee final packaging, quality control, on-time submission, and proper archiving of all bid documentation.
Additional Support
The role may also include ad‑hoc support to pre‑sales, sales and program teams, including:
Coordinating signature workflows
Providing light support to Program Managers
Contributing to delegation visit preparation
Performing occasional D365/SAP tasks
About you
Proven experience in administrative management or coordination within complex projects, commercial processes, or structured environments.
Solid understanding of tendering and structured submission processes, including compliance, governance and legal considerations.
Strong cross‑functional coordination skills, able to drive multiple submissions, manage priorities, and deliver under tight deadlines.
Highly organized and detail‑oriented, comfortable working in multicultural environments.
Excellent communication skills with professional fluency in English.
